Good guest communication is half your rating in short-term rental - and the easiest part to systematise. Instead of writing from scratch every time, prepare one set of message templates for the key moments of the stay and send them (manually or automatically) on a fixed schedule. The guest gets everything they need before they ask, you get your time back, and you avoid slips like "I forgot to send the door code". Message 3 works the hardest

A short "is everything alright?" a few hours after check-in is the most underrated message in the set. First, it catches problems while they can still be fixed - a guest who reports no hot water on the first evening gets a solution; a guest who stays silent until the end leaves a rating. Second, asking for faults up front ties into the apartment handover documentation: whatever is reported at the start doesn't get charged to the guest at departure.

The review request: how not to overdo it

One sentence inviting a review if the stay went well is enough - no pressure, no conditions. Never offer anything in exchange for a positive rating: platforms treat that as review manipulation. Can I move communication off the platform, e.g. to phone or a messaging app?

After a booking is confirmed, exchanging numbers is usually allowed, and for urgent matters a phone call is irreplaceable. Still, make sure key arrangements (time changes, consents, fault reports) leave a trace in the platform messenger - in a dispute, support relies primarily on the conversation held on their turf. Remember too that platform rules prohibit steering bookings off the platform before they're made.

When is the best time to send the door code or key pickup instructions?

1-2 days before arrival, together with the directions - early enough for the guest to plan the journey, late enough that access data doesn't float around for weeks. With self-check-in, releasing the code once booking details are complete is a good standard.

What if the guest doesn't reply to pre-arrival messages?

Don't panic - some guests only read messages once they're travelling. Send the arrival instructions on schedule, then a short reminder on arrival day asking for a rough ETA. If key handover requires you in person, ask for contact directly and state from what time you're available.

Do message templates have to be consistent with the house rules?

Yes, in both directions: messages must not promise anything against the rules (e.g. late check-out "always free"), and the most important rules are worth repeating in the right moments. Treat templates as part of the same documentation as the house rules and apartment guide - update them together.
